How it works

Order placed. Zone picks it. Rider delivers. Invoice lands.

Zipdesk isn't a courier bolted onto a warehouse — it's small, densely stocked zones spread across the city, each one running the same four-checkpoint process. Here's exactly what happens between the moment someone hits "order" and the moment it's on their desk.

0:00 order confirmed & routed to nearest zone
1:40 picked and packed at the zone
2:15 out for delivery on a live route
~9:50 delivered, invoice generated

Every order, tracked the same way.

Whether it's an admin restocking the pantry or an employee ordering a laptop, it moves through the same pipeline — so nothing depends on someone remembering to follow up.

01
Order placed
An admin orders for the office, or an employee orders for themselves against their benefit limit — from the app or web dashboard. Approval rules (if any) run instantly, before the order is routed anywhere.

02
Picked at the nearest zone
Routed to the Zipdesk zone closest to your office address and picked from stock on the shelf, not a warehouse across town. Every item on the order is scanned against your invoice line at this step.

03
On route
A rider on that zone's live route carries it directly to your office, tracked from pickup to arrival. Your admin dashboard shows the same live ETA the ticket does.

Delivered & invoiced
Handed off at your desk or front desk. A GST-compliant invoice lands in your admin dashboard automatically the moment it's marked delivered — nothing to file, nothing to chase.

An admin can order for the office. An employee can order for themselves.

Both paths run on the same account and the same GST invoice — the difference is who's placing the order and what it's checked against.

Restocking the office

For the things every office runs out of — chargers, stationery, monitors, pantry.

1
Admin opens the dashboard and adds items to a cart, same as any checkout.
2
If it's over the team's budget threshold, it routes for approval before confirming.
3
Order is picked at the nearest zone to that office location and dispatched.
4
Delivered, and the line item appears on the next consolidated invoice.

Ordering a phone or laptop

For devices covered by a company benefit, like a laptop or work phone.

1
Employee browses the device catalog their company has enabled, inside their limit.
2
Checkout runs against the configured benefit — no-cost or EMI on payroll, no card needed.
3
Order is picked and routed exactly like any other Zipdesk order.
4
Delivered to the office, with the EMI schedule visible to both employee and admin.

It's zones, not one warehouse.

A single central warehouse means a long last-mile trip no matter how good the routing is. Zipdesk instead keeps small, densely stocked zones spread across each city — so most orders are picked and dispatched from somewhere already close to your office.

That's also why the catalog is deliberately tight: about 1,900 SKUs per zone, chosen for what offices actually run out of, kept in stock rather than spread thin across everything imaginable.

Invoicing happens in the background.

Every delivered order is scanned against its invoice line at pickup, so nothing needs reconciling by hand afterwards.

Every delivery is GSTIN-verified and generates an e-invoice line the moment it's signed for.
Lines roll up into one invoice per billing cycle, across every zone and office location.
Employee EMI orders get their own line, tied to the benefit that approved them.

Common questions about how it runs.

What happens if an item is out of stock at my nearest zone?+

The order routes to the next-nearest zone carrying it automatically — you'll see a slightly longer ETA on the ticket, but you don't need to reorder or start over.

How is the delivery time actually calculated?+

It's picking time at the zone plus route time to your address, both based on that zone's live conditions — not a flat promise. The ~10 minute figure is an average across zones, not a guarantee on every single order.

Can employees order without admin approval?+

Only within the limits and catalog an admin has already configured for them — day-to-day items or a device benefit, for example. Anything outside that routes for approval before it's confirmed.

What if my office isn't inside a Zipdesk zone yet?+

You can still set up a business account — orders will route from the nearest available zone at a longer ETA, and you'll be notified as coverage expands closer to you.

Does every order really get an individual invoice line?+

Yes — each delivery generates its own GST-verified line at the moment it's signed for, then all of it rolls up into a single invoice per billing cycle so there's nothing to reconcile order by order.
